A. Our commitment to your privacy
Clear Solutions UK is committed to protecting your privacy and being transparent about the information we hold. This policy explains what information we collect about you, how we use it, who we share it with, and your rights.
Clear Solutions UK is a Charitable Incorporated Organisation registered in England and Wales (charity number 1214767), with its registered office at Suite A, 82 James Carter Road, Mildenhall, IP28 7DE. This policy covers our supporters, donors, newsletter subscribers, job applicants and website visitors. Information about the people who receive our programmes is collected by our implementing partners and handled under separate arrangements with them.

B. What information we collect
We only collect information we need. Depending on how you interact with us, this may include your name, email address, postal address, donation history and Gift Aid declaration status, your communication preferences, any information you send us directly, and standard technical information about your visit to our website such as your IP address, browser type and the pages you view.
If you apply for a role with us, we collect the information in your application and any information provided by referees you nominate. We may also look at publicly available sources such as LinkedIn.
We do not routinely collect special category data such as information about your health, ethnicity or political views.

C. How we collect it
Most often you give it to us directly - by donating, subscribing to our newsletter, applying for a role, or contacting us.
We may also receive your details indirectly. Where you donate to us through an effective giving platform or other fundraising organisation and choose to share your contact details with us, that organisation may pass them on. Those organisations are responsible for the information you give them, and their own privacy policies apply.

D. How we use your information, and our legal basis
We process donation and Gift Aid information in order to receive and administer your donation, claim Gift Aid where you are eligible, and meet our legal and accounting obligations. Our legal basis is compliance with a legal obligation and our legitimate interests in administering donations.
We send newsletters and updates to people who have asked to receive them. Our legal basis is your consent, which you can withdraw at any time using the unsubscribe link in any email or by emailing us.
We use your information to respond to you when you contact us, and to keep a record of that correspondence. Our legal basis is our legitimate interests in responding to enquiries and keeping accurate records.
We use recruitment information to assess applications and, where relevant, to meet our obligations as an employer. Our legal basis is our legitimate interests in recruiting staff and taking steps prior to entering a contract.
We use website technical information to provide and secure the website and to understand how it is used. Our legal basis is our legitimate interests in operating a functioning website.

E. Who we share it with
We never sell your information, and we do not share it with other organisations for their own marketing.
We use service providers who process information on our behalf under contract, including Zeffy, which operates our donation page, and our email newsletter and website providers. We share Gift Aid declarations with HM Revenue and Customs, and with our Gift Aid intermediary where one is used, in order to make a claim. We may share information with our professional advisers and auditors, or where we are required to do so by law.

F. Transfers outside the UK
We are an international organisation and some of our service providers and team members are based outside the UK. Where we transfer personal information outside the UK, we make sure it is protected by an appropriate safeguard recognised under UK data protection law, such as an International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, or that the destination country has been found to provide adequate protection.

G. How long we keep it
We keep information only as long as we need it. Gift Aid declarations and donation records are kept for at least six years after the end of the relevant tax year, as HMRC requires. Newsletter subscriptions are kept until you unsubscribe. Unsuccessful job applications are kept for twelve months and then deleted.

H. Cookies
Our website uses cookies. Essential cookies are needed for the site to work. Any non-essential cookies, such as those used to analyse how the site is used, are only set if you agree through our cookie banner, and you can change your choice at any time. You can also block or delete cookies in your browser settings, though some parts of the site may not work as a result.

I. Your rights
You have the right to ask for a copy of the information we hold about you, to have inaccurate information corrected or incomplete information completed, to ask us to delete information or restrict how we use it, to object to processing we carry out on the basis of legitimate interests, to receive information you gave us in a portable format, and to withdraw consent at any time where we rely on it.
To exercise any of these rights, email us at info@clearsolutions.global. We will respond within one month. We may ask you to confirm your identity first.

J. Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office, the UK data protection regulator, at ico.org.uk.

K. Changes
We may update this policy from time to time. The current version is always published here.
